How to Write Outreach That Gets Replies
Write outreach that brands actually answer. Learn what makes a pitch work and how to use the Ultra VIP outreach writer to get a strong email in seconds.
Most outreach emails go unanswered for the same few reasons. They are too long, they are about the sender rather than the reader, or they never get to a clear ask. The fix is rarely clever writing. It is usually a shorter, more specific email sent to the right person.
This post covers what makes a pitch worth replying to, and how to use the outreach writer in Ultra VIP to get a strong first version in seconds, so you can spend your time on the parts only you can write.
Start with the right person
The best email in the world will not get a reply from an inbox nobody reads. Before you write anything, make sure you are reaching a real person whose job touches creators, partnerships, PR or marketing.
That is the idea behind the contacts directory in Ultra VIP. It is a directory of brand and hotel contacts, each with a name, company, title and email. You search it, and when you find someone worth writing to, you unlock their email. Each unlock uses one of your 100 daily unlocks, and contacts you have unlocked stay unlocked. Your counter resets every day at 00:00 UTC.
A hundred a day is plenty. The point is not to email a hundred people every morning. It is to never be stuck without the right person to write to.
What a reply-worthy email looks like
Strong outreach tends to share a few traits:
- A specific subject line. Name the brand or the idea. "UGC idea for your fall launch" tells someone more than "Collaboration opportunity."
- A first line about them, not you. Mention a product, a recent launch, or a reason you picked this brand.
- One clear reason you fit. Your niche, your audience, or the kind of content you make, in a sentence.
- Proof in a link. Your handle or portfolio, so they can see your work in one tap.
- One small ask. A short call, a reply, or permission to send an idea. Not three asks at once.
- Brevity. If it does not fit on a phone screen without much scrolling, trim it.
The outreach writer is built around these same ideas. Its emails lead with an offer of a free audit and a quick call, which gives the reader something useful and a low-effort way to say yes.
How the outreach writer works
You will find it on the Ultra VIP page, under Outreach writer. Here is the flow:
- Pick a contact, or type a brand. Choose someone from the directory, or switch to typing a brand name instead.
- Add your niche. What you create, in a few words.
- Choose a goal. UGC pitch, collab, gifting or paid partnership.
- Choose a tone. Friendly, professional, bold, or short and direct.
- Fill in the details. Their first name, your name, and your handle or a link to your work.
- Write my email. You get a subject line and a full email.
From there you can copy the email, or tap "Another version" to get a different take on the same pitch. Edit anything before you copy it. Nothing is sent from the page itself, so you stay in control of what goes out and when.
Matching the goal to the brand
Picking the right goal matters as much as the words. A quick guide:
- UGC pitch. Best when a brand runs ads or needs a steady flow of content for its own channels. You are offering videos they can use.
- Collab. Best when your audience overlaps with theirs and a joint post or series makes sense for both of you.
- Gifting. Best for newer creators, or for brands with a product that is easy to send. A low-risk first step for both sides.
- Paid partnership. Best when you have a clear audience fit and examples of past work to point to.
If you are not sure, gifting and UGC pitches are often the easiest doors to open with a brand you have never worked with.
Choosing a tone
Tone should match the brand, not just your personality.
- Friendly suits lifestyle, beauty and wellness brands with a warm voice.
- Professional suits larger companies, hotels and anyone with a formal partnerships team.
- Bold suits brands with a playful, confident voice of their own.
- Short and direct suits busy inboxes, and almost every follow-up.
A good habit: read a few of the brand's own posts before you choose. Write the way they talk.
Make the email yours
The outreach writer gives you a strong starting point. A few minutes of your own editing is what turns it into a reply:
- Add one real detail. A product you have used, a campaign you liked, or why this brand fits your audience.
- Check every name. A misspelled first name or company ends a conversation before it starts.
- Swap in your best link. Send them to the one video that best shows what you would make for them.
- Read it aloud. If a sentence sounds stiff, rewrite it the way you would say it.
Follow up, once or twice
Silence is not always a no. People are busy, and emails get buried. A short, friendly follow-up after a few days often gets more replies than the first email.
Keep it to two or three lines. Remind them who you are, restate the one ask, and make it easy to say yes or no. The "Short and direct" tone in the outreach writer works well for this.
If there is still no reply after a second follow-up, move on. There are always more good contacts in the directory.
Keep a simple record
Track who you wrote to, when, which goal you used, and what happened. Over a few weeks you will see which goals and tones work best for your niche, and you can lean into those.
A note for brands and agencies
Outreach works in both directions. The same principles hold when you reach out to creators: be specific about the product, clear about usage and dates, and honest about what you can offer. Brand and Agency accounts on Unresourced are free, and you can post a brief so our team can cast creators for you.
